Position: Programming & Productions Officer

Basic Salary: €24,617

Qualifications and Experience Required:


  • Candidates must in possession of a recognized Bachelor’s Degree qualification at MQF Level 6 (subject to a minimum of 180 ECTS/ECVET credits, or equivalent, with regard to programmes commencing as from October 2003) in Music Studies and Psychology, Events Management or a comparable professional qualification, plus one (1) year relevant work experience.


Job description:

  1. Giving creative input on project content and design ensuring smooth running of festivals assigned to him/her;

  2. Planning logistics for all events/projects as per direction of CEO, Cultural Projects Manager and Artistic Director;

  3. Developing memoranda and other correspondence to address routine incoming mail that can be handled without the need of initial direction from project managers;

  4. Liaising with the relevant government and civil service structures, for permits etc., ensuring collaboration;

  5. Assisting on all areas of event planning, delivery and operational support following time plan;

  6. Assisting with the development of the event programme as per direction of the CEO and Cultural Projects Manager;

  7. Preparing contracts as per riders;

  8. Assisting with site planning and permits;

  9. Preparing event and artists’ schedules;

  10. Assisting in preparing budgets and updating regularly;

  11. Coordinating all stage management preparations;

  12. Coordinating travel, accommodation and meals;

  13. Coordinating transport schedules;

  14. Coordinating artists’ hospitality;

  15. Meeting deadlines set by Cultural Projects Manager;

  16. Managing time effectively;

  17. Giving attention to detail to all projects;

  18. Liaising with marketing team on all projects following marketing plan and timeline;

  19. Assisting in marketing and branding programme;

  20. Preparing procurement for all services according to government procurement regulations;

  21. Operate IT systems including the e-procurement portal (e-PPS), used for management of calls for tenders and reporting of public procurement;

  22. Assisting in the detailed monitoring and enforcement of Public Procurement procedures and ensuring that all procurement documents are in line with the applicable procedural and technical requirements, whilst ensuring confidentiality of sensitive procurement information at all times and ensuring compliance in such proceedings;

  23. Sit on the evaluation committees when necessary;

  24. Attending Tender Opening Sessions when requested and other pertinent assignments in order to ensure that all the stipulated regulations are adhered to;

  25. Assisting in preparing risk assessment plans consulting with experts in the field;

  26. Assisting in health and safety reports for all projects consulting with experts in the field;

  27. Coordinating insurance policies with experts in the field;

  28. Coordinating with PRS;

  29. Provide administrative support to Cultural Projects Manager and CEO, following all procurement regulations in the process of same;

  30. Coordinating instrument and backline hire;

  31. Coordinating rehearsal and sound check schedules;

  32. Ability to work in a team, adapt rapidly and respond to change in a fast-changing environment;

  33. Working during weekends and public holidays including evenings as per the agency’s exigencies;

  34. Following any other ad hoc assignments in relation to festivals and events as may be directed and agreed with CEO Festivals Malta.
