Position: Site Manager - Events

Basic Salary: €24,894
Qualifications and Experience Required:
Candidates must in possession of a recognized Master’s qualification at MQF Level 7 (subject to a minimum of 60ECTS/ECVET credits, or equivalent, with regard to programmes commencing as from October 2008) in Business administration, logistics or Events Management, plus one (1) year relevant work experience.
OR
Candidates must be in possession of a recognized Bachelor’s qualification at MQF Level 6 (subject to a minimum of 180 ECTS/ECVET credits, or equivalent, with regard to programmes commencing as from October 2008) in Business administration, logistics or Events Management, plus three (3) years relevant work experience.
OR
Minimum 6 years’ experience in management and production of major events, including experience on all areas of event planning, delivery and operational support following time plans. Equivalent of six years’ experience in dealing with procurement and preparation of contracts as per riders. Experience in site planning, permits, preparation of event/artists schedules, stage management, coordination of travel and accommodation, transport schedules, artists hospitality. Experience in liaising with stakeholders, relevant government and civil service structures, for permits.
Job description:
Assist all areas of festival/event planning, delivery, and operational support
Manage assigned tasks at the request of the festival managers, CEO, or anyone from the Executive Team
Liaise with and assist marketing and PR team with setting up and other logistical matters
Liaise with technical team on matters related to logistics and venue set up
Planning and managing logistics related to the festivals/events
Supervising and overseeing setting up and other logistical details at the festival/event venue/s
Reviewing progress on site and liaising with suppliers
Resolve any arising problems and complaints on the ground
Operate IT systems including the e-procurement portal (epps), used for management of calls for tenders and reporting of public procurement
Assisting in the detailed monitoring and enforcement of Public Procurement procedures and ensuring that all procurement documents are in line with the applicable procedural and technical requirements, whilst ensuring confidentiality of sensitive procurement information at all times and ensuring compliance in such proceedings
Sit on the evaluation committees when necessary
Attending during Tender Opening Sessions when requested and other pertinent assignments in order to ensure that all the stipulated regulations are adhered to
Work on own initiative and meet deadlines without supervision
General awareness of office procedures and government public procurement regulations
Ensure compliance with regulations, procurement and internal policies
Demonstrated ability to organise, plan and prioritise own work and work schedules as required
Demonstrated ability to observe and acquire new skills pertaining to project management practices
Ability to work in a team, adapt rapidly and respond to change in a fast-changing environment
Working during weekends and public holidays including evenings as per the agency’s exigencies
